  • To ensure that our activities touch all aspects of the above communities and the society at large

Requirement

  • Formation of Institute-Alumni Interface Secretariat
    • Space, infrastructure, facilities by the Institute
    • Staff salary by AIBA

Governing Structure

  • Management Committee for running the Secretariat
    • 2 Nominees from IBGAA
    • 2 Nominees from AIBA
    • 1 Nominee from Institute – preferably Dean – Alumni Affairs
  • Executive Committee
    • Representative of MC
    • Will comprise Alumni, Students and faculty
    • Each EC member to be individually responsible for one project
    • Will report to the MC on a monthly basis
    • Chairman of the EC to be nominated by MC
    • Total members: 7 to 9; more can be co-opted with increase in projects
  • Secretariat to report to Executive Committee
    • Reporting structure to be defined by EC

Functions of Secretariat

  • Project Administration
    • 2 Running the projects authorised by the Management Committee
  • Keeping track of funds
    • transferred from donors into Association account
    • disbursement of funds into projects
    • project balance sheet
    • sponsorship funds, donations, and subscription funds
  • Interfacing
    • Between Institute and Alumni Association
    • Between Alumni and Alumni Association
    • Between Alumni Association and other entities
  • Outreach
    • Reaching out to alumni- registered members and not yet registered alumni
    • Informing alumni about events and programs
    • Informing alumni about contributions

Secretariat Outlay

  • Alumni Secretariat
    • CEO: Rs. 1.5L/month
    • Member: Rs. .4L/month x 2 (to start with) to
    • increase as required and authorised by MC
    • Approx. 30L pa

Projects that will be taken up

  • Student
    • Pre-counselling: JEE qualified students to be couselled -
    • across all IITs and over Internet – cater to approx 5,000 = 10L pa
    • Welcome to JEE Entrants to the Institute: 600 students pa = 5L pa
    • Welcoming all graduating students into alumni fold (including alumni reunion, with acknowledgement of batches that join as 25th year reunion, 11th year reunion etc.) = 8L
    • Financial support to deprived students (course completion): 1 per branch per year to start with 50K per student pa
    • Alumni - Student connect
    • Student - Industry connect
  • Faculty (teaching and non-teaching)
    • Attracting young faculty (approx 30 per year)
    • Faculty awards
    • Research Excellence
    • IPR creation
    • Any other
    • Supplementary medical insurance to teaching and non-teaching retired faculty
    • Budget = 50L pa

Projects related to infrastructure

  • Faculty (teaching and non-teaching)
    • Mess Infrastructure
    • Hostel infrastructure
    • Budget to be decided (approx 20L pa)

    • Vacation training / internship
    • Industrial project for UG / G / PG / PhD students

Funding required to run these projects

  • Approx Rs. 1.5 crores pa to start with
    • Objective:
    • To create corpus of Rs. 15 crores over 5 years

Corpus Creation

  • Mid-size donors (individual) (Rs. 5L to 10L)
    • Free accommodation for 1 room week at IIT BHU Alumni Guest every year

  • Other Donors (< Rs. 5L)

  • Batch Donations / Group donations
    • Common plaque containing the names of all donors if total donation of the batch(es) / group crosses Rs. 5L
    • If donations by any group crosses 25L, a room will be named after the group, and a plaque containing the names of all donors will be put up outside the room
    • Recognition in Institute and Alumni websites
